Five automations every real estate sales team should run
Property leads cool quickly when nobody replies. These five automations answer enquiries fast, qualify buyers, book site visits and keep long-cycle buyers warm, so your team spends its time on the buyers most likely to close.
01Instant lead response on WhatsApp
A buyer who enquires on a Sunday evening may be comparing several projects that night. Automate the first reply so every enquiry from your ads, website and portals gets one within a minute of reaching you, at any hour.
Send it on WhatsApp in three parts: thank the buyer by name, attach the brochure and price sheet, and ask one question to start qualifying, such as which configuration they want.
What it needs
Automated messages run on the WhatsApp Business Platform (the API), set up directly with Meta or through one of its partners. When a buyer messages you first, for example from a click-to-WhatsApp ad, you can reply without a template for 24 hours after their last message. A form or portal lead hasn’t messaged you, so your first message must use a template Meta has approved, and the buyer must have agreed to receive messages from your business. Add that consent, naming WhatsApp, to your own forms, and check what portal leads agreed to before you message them.
The pitfall
Sounding like a bot. Long, formal messages listing every amenity get ignored. Keep it short, name the project they asked about, and offer a person: a button to request a call, followed by a real call within working hours.
02Qualify before a human picks up
Let the same WhatsApp conversation ask what a salesperson would ask on the first call:
- Budget, offered as ranges such as ₹60 lakh–1 crore.
- Location or project, if you sell more than one.
- Configuration, such as 2 BHK or 3 BHK.
- Timeline: buying now, in the next few months, or just exploring.
- Finance: home loan, own funds, or selling another property first.
Reply buttons and lists make each answer a single tap. Score the answers and send hot leads to a salesperson straight away, with the answers and the conversation attached, so the first call picks up where the chat left off. Leads that aren’t ready yet move to nurture.
What it needs
Scoring rules agreed with your sales head, routing by project or location, and alerts that reach the salesperson’s phone. If nobody calls a hot lead within an agreed time, reassign it.
The pitfall
Too many questions. Ask three to five and leave the rest for the call or the site visit. Buyers who stop answering halfway should still reach a salesperson, flagged as partly qualified.
03Book and confirm site visits automatically
Every back-and-forth over timing gives a qualified buyer a chance to cool off. Let them pick a visit slot from your sales team’s real availability, in the same chat. The automation handles the rest:
- An instant confirmation with the date, time, salesperson’s name and a location pin.

What it needs

Leads arrive from property portals such as 99acres, MagicBricks and Housing.com, from Meta and Google lead forms, and from your website. Delivery varies by portal and package, from email alerts to CRM integrations to manual exports. When someone re-enters spreadsheets by hand, leads wait hours for a reply, and some are never entered at all.

05Nurture long-cycle buyers and revive old leads
Buying a home can take months. A buyer who is just exploring today may be ready after the next price revision or once the project nears completion. Stay in touch with updates matched to what each buyer told you:
- Construction progress, with recent photos or video from site.
- Price changes, announced before they take effect.
- New inventory, such as a new tower or phase in their budget and configuration.
- Offers, such as festive-season schemes.
A few times a year, ask older leads whether they’re still looking, with reply buttons for “Yes”, “Not now” and “Bought elsewhere”. Send the yeses back through qualification, set a later reminder for “Not now”, and close the rest.
What it needs
CRM segments by project, budget and configuration, and approved marketing templates. Meta charges per template message, at rates set by category and country, so a smaller, engaged list also costs less. Meta also limits marketing messages per person, so some updates won’t arrive. Message only buyers who agreed to hear from you, include an easy way to opt out, and honour opt-outs in every system straight away.
The pitfall
Sending the same brochure every fortnight. Repeats teach buyers to ignore you, and blocks and reports lower your WhatsApp quality rating, which can get your templates paused.
06Where to start
Build these in order:
- Instant response. It usually has the biggest effect and is the simplest to build. Start with sources that reach you in real time, such as ads and your website.
- Qualification and visit booking. They run in the same WhatsApp conversation, so build them together.
- CRM sync and nurture. Bring every portal into the same flow, then use the history you’re collecting to keep slower buyers warm.
Before you switch anything on, record a month of baseline numbers:
- Response time, from enquiry to first reply and to first conversation with a salesperson.
- Lead-to-visit rate, the share of leads that complete a site visit.
- Visit-to-booking rate, the share of visits that end in a booking.
Compare the same numbers by source after each stage, and allow for launches and festive periods, which move results whatever you automate.
